The short version
We hold very little, and the websites we build hold nothing at all. If you want your details removed from our records, email us and we will do it.
1. The sites we build collect nothing
The ordering website we build for a takeaway has no analytics, no cookies, no tracking, no login and no browser storage. A customer's basket exists only in their own phone's memory until they press the order button.
When a customer places an order, the message goes from their WhatsApp to the shop's WhatsApp. It does not pass through us and we never see it. The shop is the data controller for its own customers; we have no access to them.
This page works the same way. No analytics, no cookies, no third-party requests.
2. If you are a client
We hold what is needed to provide and bill the service:
- your business name, address, phone number and email
- the content you give us for your site — menu, prices, photos, opening hours
- a billing record, held by Stripe. We never see or store your card details.
Why we are allowed to: we need it to perform our contract with you.
How long: while you are a client, and afterwards only the billing records that tax law requires us to keep. Everything else is deleted within 90 days of you leaving.
3. If we have contacted you about becoming a client
Before approaching a business we build a list from two public sources: the Food Standards Agency register of food businesses, and Google Maps business listings. That list holds the business name, address, postcode, phone number, hygiene rating, and Google rating and review count.
All of it is already public. But if you trade as a sole trader rather than through a company, information about your business can also be information about you personally, and UK data protection law treats it that way. So, plainly:
Why we are allowed to: our legitimate interest in offering a relevant service to businesses that appear to need it. We have weighed that against your interests, which is why we approach in person or by phone rather than by unsolicited email or WhatsApp.
How long: we delete a prospect record within 12 months, or immediately if you ask.
You can tell us to stop at any time. Email support@thehatchdirect.com and we will delete your record and not contact you again. You do not have to give a reason, and we will not ask for one.
4. Who else sees your data
Only the suppliers we need to run the service:
- Stripe — payments and billing
- Cloudflare — hosting for your site and this one
- our domain registrar — to register a domain in your name
We do not sell data, share it for anyone else's marketing, or use it to train anything.
5. Your data leaving the UK
We are a US company, so information you give us is stored and handled in the United States. US law does not give the same protections as UK law, and we rely on the suppliers above to apply appropriate safeguards to the data they hold for us.
If this matters to you, ask us before signing up and we will tell you exactly where a given piece of information sits.
6. Your rights
Under UK data protection law you can ask us to:
- show you what we hold about you
- correct anything wrong
- delete it
- stop using it, including stopping marketing contact entirely
- hand it over in a portable form
Email support@thehatchdirect.com. We will respond within one month, and there is no charge.
If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can put it right.
7. Changes
If we change how we handle data we will update this page and change the date at the top. Clients are told by email before anything material changes.
